Community Use of School Facilities
Polk County Public Schools has partnered with Facilitron to offer an online facility request and rental system designed to provide a positive user experience for all. With this system, reservation requests can be submitted easily and processed efficiently. Renters are able to access photos and descriptions, see real-time availability, get estimated quotes and pay online.
Facilitron
In partnering with Facilitron, Polk County Public Schools has launched custom facility use sites for the district and each school – allowing facility use requests to be submitted at any time. You can view and request all district facilities at: https://www.facilitron.com/pcps33830. The Facilitron process of requesting/approval/management of facility use follows Polk County Public Schools board policies. The district’s administrative staff makes final decisions on all facility use requests.
Facilitron assists with the set-up of organization and user accounts along with verification of non-profit status (if applicable). Facilitron also collects payment and proof of insurance (certificate of insurance) on the district’s behalf. Payments can be submitted conveniently on Facilitron. Payment options include major credit cards, checks, ACH/eCheck, and Paypal. Proof of insurance (certificate of insurance) can also be conveniently uploaded into the system, and/or it can be obtained directly through Facilitron.
The Facilitron system is live for all sites and the only way to request use of a district facility is by creating a Facilitron account and submitting a request online. A video introduction to placing a request can be viewed on YouTube. For those who had reservations with Polk County Public Schools prior to Facilitron, accounts have already been created on your behalf, and an automated email has been sent to you to create a password to access your renter account. New Rental Rates Effective Jan. 1, 2023
PCPS thanks you for selecting our rental sites to host your event. We hope this experience is positive, and the chosen site is suitable for your needs. We look forward to continuing to offer this valuable service to our community.
The school district analyzes the Use of Facilities rates every few years to ensure the rates are set appropriately to cover the cost of maintaining these facilities. Due to the recent increase in the cost of materials and supplies, PCPS must help offset these costs by increasing our Use of Facilities rates.
Please be advised that the rate increase will be effective as of Jan. 1, 2023.
Facilitron — our district’s online system for booking facilities — will change the rates on the website that same day (Jan. 1, 2023).
You will find that our new rates remain extremely reasonable and are well below the rental costs that other local school districts are charging for similar facilities.
In addition, you might wish to consider booking your events now to take advantage of current prices before the rate increase takes place.
